SMS / text messaging policy

1. Who we are and what this program is

ApFoodz LLC operates the APFoods platform at apfoodz.com — wholesale order-management software for food distributors. ApFoodz LLC is the registered owner of the toll-free number described on this page, and is the sender of every message sent from it.

We are a software platform, so we send these messages on behalf of the food distributors that run their business on ApFoodz, to those distributors' staff and wholesale customers (and, for purchase-order notices, their suppliers). Because the recipient's relationship is with their distributor rather than with us, every message names both: the distributor the message is about, and ApFoodz LLC as the sender, in the form “Sunrise Produce (via ApFoodz LLC)”. There are two distinct programs, sent from two distinct numbers:

Transactional messages, sent by ApFoodz LLC from our toll-free number

This is the only program that uses the toll-free number. It carries exactly three kinds of message, and nothing else:

• Account security, one-time sign-in and password-reset codes (OTP) and phone-number verification codes.
• Order & account notifications, order confirmations, dispatch and delivery updates, invoice and payment notices, and related account notices (such as returns or credits).
• Account setup, a one-time message with sign-in details, sent when a distributor sets up storefront or warehouse-app access for a customer or staff member who requested it. It ends with opt-out instructions and enrols the recipient in nothing further.

In addition, an account holder who has verified their number can text the toll-free number and receive automated replies from our ordering assistant in that same conversation. Replies are only ever sent to a verified account holder in response to their own message, and carry the same sender identity as every other message.

The ApFoodz LLC toll-free number sends transactional messages only. It is never used for marketing or promotional content, and never used to message anyone who does not hold an account on the platform.

Promotional messages, sent from a separate toll-free number

Occasional deals and product updates (optional, and a separate opt-in) are sent from a second toll-free number, registered separately. It is a distinct program with its own consent: turning on order and account alerts does not enrol anyone in it, and the two toggles are independent everywhere they appear.

The separation is enforced in our software, not merely by policy: promotional messages cannot be sent from the transactional number, and if the promotional sender is unavailable the message is not sent at all rather than falling back to the transactional one.

2. How people opt in

All opt-ins happen inside the ApFoodz web application, there are no third-party lists, no purchased numbers, and no texting people who haven't created an account.

1. A user adds a mobile number to their profile (the field is optional).
2. Text-message toggles are off by default. The user must switch them on themselves, one toggle for order/account notifications (sent by ApFoodz LLC on behalf of their distributor, from the toll-free number described above) and a separate one for promotions (sent from our separate promotional number). Neither toggle turns on the other.
3. We text a 6-digit verification code to the number. Text alerts do not activate until the user enters that code, proving they control the phone. Security codes (OTP) are likewise only sent by SMS if the user selects text message as their code channel after verifying their number.

One exception, disclosed here because it is the only message sent without a toggle: the account-setup text described above. When a distributor sets up an account for a customer or staff member who requested one, we send a single message with their sign-in details to the number the distributor provided. It names the sender the same way as every other message, ends with “Reply STOP to opt out”, and does not enrol the recipient in any recurring messages — ongoing alerts still require the recipient to switch the toggles on and verify the number as described above.

What the opt-in form looks like

This is the notification step every new storefront user sees when creating their account (also available afterwards under Profile → Notifications). It is shown behind a sign-in, so it is reproduced here exactly:

Both text-message switches are off by default; the mobile number field is optional and must be verified by a texted code before any alerts are sent.

Sample messages

Representative messages from our toll-free number, shown as a recipient receives them. Sunrise Produce stands in for the distributor the recipient buys from; the sender, ApFoodz LLC, is named in every one, and every message except a one-time security code ends with opt-out instructions. Other order, delivery, invoice, payment, and account notices (for example an overdue-invoice reminder or a return credit) follow exactly the same format: sender name, a one-line notice, and “Reply STOP to opt out.”

3. Message frequency

Message frequency varies with account activity. A typical wholesale buyer receives a few messages per week from the ApFoodz LLC toll-free number (order confirmations and delivery updates); security codes are sent only when the user signs in or resets a password. Promotional messages, sent from our separate promotional number, are occasional and only sent to users who separately opted into promotions.

4. Fees

Message and data rates may apply. ApFoodz LLC does not charge for text messages, but your mobile carrier's standard messaging rates apply. Carriers are not liable for delayed or undelivered messages.

5. Opting out

• Reply STOP to any message to unsubscribe immediately. You will receive a single confirmation message and nothing further.
• You can also switch off text alerts at any time under Profile → Notifications in the application.
• Reply HELP to any message, or email admin@apfoodz.com, for assistance.

6. Privacy

Phone numbers collected for text messaging are used only to deliver the messages described above. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are never shared with any third party. Messages are delivered through our SMS provider (Twilio), which acts solely as a processor on our behalf. See our privacy policy for full details.
